Your role

A Nordic practice assistant supports one of Nordic's consultant practice teams. You'll need to be able to think, act, and adapt with urgency in organizing and prioritizing communication between home office teammates and consultants. You’ll need to act like an owner when creating and managing consultant-facing documents and consultant data. If this sounds like you, here’s what you’ll need:

  • Post-secondary education 
  • Excellent verbal and written communication skills

Full Job Description

Practice Assistant

Consulting Services practice teams build relationships with and advocate for current and prospective Nordic consultants and oversee consultant hiring, placement, and career development. The practice assistant provides administrative and operational support to one or more practice teams. The Practice Assistant works under the guidance of the practice director(s) and with practice manager(s) to help ensure that day-to-day operations run smoothly.

Key Responsibilities

The Practice Assistant's responsibilities include, but are not limited to

  • Organizing and prioritizing large volumes of email, calls, and internal communications
  • Preparing and sending correspondence, adapting content and format based on the needs of the audience including but not limited to candidates, consultants, third-party vendors and internal partners
  • Converting, updating, and proofreading consultant and candidate resumes
  • Scheduling, communicating, and maintaining up-to-date and accurate documentation through various stages of the consultant lifecycle including but not limited to submission, contract start, contract end, and offboarding
  • Coordinating consultant engagement activities, including gifts, anniversary cards, and special events
  • Scheduling and organizing meetings, conference calls, and department activities including administering travel and social event coordination
  • Administering internal department processes and managing projects, including expense tracking and approvals, training approvals, and travel coordination
  • Assisting with practice and department process improvement
  • Creating, routing, and managing internal and consultant-facing documents
  • Maintaining up-to-date data and information in Nordic’s customer relationship management (CRM) system
  • Working on projects that may be assigned on an ad hoc basis and assisting in other initiatives as needed

Skills and Experience

  • Post-secondary education
  • 3+ years of administrative support in a professional office setting, or equivalent experience

  • Must demonstrate and embody Nordic's maxims

  • Proficient with Microsoft Office Suite, computers, email correspondence, and spreadsheets

  • Strong attention to detail and accuracy

  • Ability to plan, organize, prioritize and manage competing priorities while meeting customer services commitments and expected timelines

  • Excellent problem-solving skills and ability to maintain composure in stressful situations

  • Strong written and verbal communication, including the ability to adapt communication styles and strategies to the audience

  • Ability to work independently as well as within a team environment

Compensation and Additional Details

  • Position is located in Nordic's home office in Madison, WI
  • Occasional travel up to 5% of the time
  • Ability to lift up to 20 pounds

  • Salary will be based on skills and experience
