Your role

A Nordic administrative assistant supports Nordic's sales team. We want you to be you and act like an owner in organizing and prioritizing large volumes of communication. You’ll need to be able to make it about "we" as a liaison between your team and the rest of the company. If this sounds like you, here’s what you’ll need:

  • Post-secondary education 
  • Strong customer service attitude
  • Excellent verbal and written communication skills
  • Three or more years experience in administrative support

Client Operations Assistant

The Client Operations Assistant supports functions essential to Nordic’s sales team productivity including proposal coordination and team administration.

Key Responsibilities

The Client Operations Assistant's responsibilities include, but are not limited to

  • Scheduling and organizing meetings, conference calls, and department activities including administering travel and social event coordination
  • Facilitating prosposal coordination across stakeholders and departments to ensure collaboration leads to successfully meeting timelines and quality standards
  • Organizing and prioritizing large volumes of email, calls, and internal communications
  • Preparing and sending correspondence
  • Coordinating the day-to-day management of proposal creation process
  • Assisting with front desk duties, such as opening and closing, welcoming visitors, and directing phone calls
  • Assisting in the development of proposal and presentation materials to ensure consistency and adherence to proposal and presentation requirements
  • Conducting detailed white-glove reviews of proposal content and formatting to prepare for delivery
  • Working on projects that may be assigned on an ad hoc basis and possibly assisting other corporate initiatives as necessary

Skills and Experience

  • Post-secondary education
  • 3+ years of administrative support in a professional office setting, or equivalent experience
  • Excellent communication skills, both written and verbal
  • Proficient with Microsoft Office Suite, computers, email, correspondence, and spreadsheets
  • Strong attention to detail and ability to organize and prioritize tasks
  • Must demonstrate and embody Nordic's maxims
  • Ability to work well under pressure and within time constraints
  • Ability to work independently as well as within a team environment

Compensation and Additional Details

  • Position will be located at Nordic's home office in Madison, WI
  • Occasional travel up to 5% of the time
