Your role

A Nordic office operations assistant supports the daily operations of Nordic's home office. We want you to be you and act like an owner leading Nordic's front desk duties and managing the supply of office inventory. You’ll need to be able to make it about "we" as you provide administrative support to department leaders and work with building vendors for general office maintenance. If this sounds like you, here’s what you’ll need:

  • Post-secondary education or equivalent experience
  • Three or more years experience in administrative support
  • Strong customer service attitude

Office Operations Assistant

The Office Operations Assistant will support the daily operations of Nordic’s office and create a welcoming and professional impression of the company for office visitors and contacts.  Success in this role requires strong customer service skills, a collaborative spirit, and the ability to recall information quickly to make informed decisions.

Key Responsibilities

The Office Operations Assistant's responsibilities include, but are not limited to

  • Assisting office management with general office maintenance, including scheduling and communicating with building vendors
  • Providing administrative support to departmental leadership
  • Leading Nordic’s front desk duties, such as: opening and closing tasks, welcoming visitors, and directing phone calls
  • Tracking, ordering, and stocking office inventory
  • Coordinating office mail distribution, including both in-bound and out-bound mailings
  • Serving as a resource in answering or direct questions from Nordic employees
  • Coordinating and executing office events
  • Working on projects that may be assigned on an ad hoc basis and possibly assisting other corporate initiatives as necessary, directed, assigned, or requested

Skills and Experience

  • Post-secondary education
  • 3+ years of administrative support in a professional office setting, or equivalent experience

  • Excellent communication skills, both written and verbal

  • Proficient with Microsoft Office Suite, computers, email, correspondence, and spreadsheets

  • Strong attention to detail and ability to organize and prioritize tasks

  • Ability to work well under pressure and within time constraints

  • Ability to work independently as well as within a team environment

Compensation and Additional Details

  • Occasional travel up to 5% of the time
  • Ability to lift up to 20 pounds

  • Salary will be based on skills and experience
